Upon approval, within the next ten business days, your 2020 Sponsorship Application will be reviewed and barring unforeseen questions or circumstances, should be approved. Please download your “Welcome Kit” above. Its contents include: Shipping Info; Directions; Hotel Contact Information; Restaurants and More. Please note, if after your Sponsorship Application is reviewed, and, if for any reason an item/space you have purchased has already been filled (first come, first served), we notify you within the next 10-20-business days. You will have two options: 1) we can apply the remaining balance to another branding item at this years conference to maximize brand exposure; or, 2) we will issue a refund, minus tax for the difference. Please note, a copy of our Sponsor/Exhibitor Agreement/Terms and Conditions together is available at here.
2. Reserve Your Hotel Early …
We Recommend No Later Than Sept. 1, 2020
We highly recommend you reserve your room at the rate(s) listed no less than 4-6-weeks (we recommend BEFORE September 1st, 2020) before the conference to qualify for the discounts and amenities below. Travel costs associated with your trip are not included in your fees. See our FAQs for more info here.
3. Email Us Your Ad, Logo and/or Artwork ASAP But No Later Than Aug 1st, 2020
Dependent upon your sponsorship level you are allowed to advertise your brand/logo etc. in our Onsite Conference Guide. Please submit your .TIF or .PNG or .JPG or .PDF one-page or one-half page advertisement no later than Aug 1st, 2020 to email firstname.lastname@example.org
4. Email Us A Copy (or fax) Your Companies “Certificate of Liability Insurance” Copy
Our venue, as others do as well require us to have a copy of your companies Insurance/Liability Form all Exhibitor. General Insurance Requirements – The Sponsor and/or Exhibitor shall; at its sole cost and expense procure and maintain through the term of each contract; comprehensive general liability insurance against claims for bodily injury or death and property damage occurring in or upon or resulting from the premises rented by Concierge Medicine Today, LLC. Inc. Such insurance shall include contractual and liability coverage; with combined single limits of liability of not less than $1,000,000 per occurrence and $3,000,000 aggregate. Such insurance shall name Concierge Medicine Today, LLC. as an additional insured and Sponsor/Exhibitor shall upon request provide Concierge Medicine Today, LLC. with certificate so indicating. Workers Compensation and any other insurance or required licenses shall be in full compliance with all federal and state laws; covering all Sponsor/Exhibitor company’s employees engaged in the performance of any work for the Exhibitor including employee liability coverage; in a minimum amount of not less than $500,000 of individual and/or aggregate coverage. All property of the exhibitor is understood to remain under its custody and control in transit to and from the confines of the designated exhibit area.

5. Plan Your Transportation Needs
We recommend Uber or Lyft or a taxi to shuttle you from the hotel to the venue. We recommend Hartsfield-Jackson Atlanta International Airport. Atlanta traffic is unpredictable, so please allow at least 45 minutes to one hour of travel time.

7. We Will Ensure Your Table/Exhibit Area Is Ready For You When You Arrive.
At this moment, you do not have to do anything. Sponsors and Exhibitors will be allowed to set-up and enter the venue the morning of Friday, September 25, 2020. More timing details will be emailed to you with shipping address, etc., within 90-100 days of the event. Please come prepared with your own packing materials, tape, shipping labels, etc., to mail your exhibit materials back to your desired location. Should you need an electrical outlet, please email us at firstname.lastname@example.org and let us know your needs prior to the event. On the morning of the event, your companies table location, company name, survey and logo will be waiting for you when you arrive. Our room and space planning design is constantly making adjustments to ensure best in-class locations for our sponsors. Please note that final sponsor table locations & signage are subject to CMTs facilities director & events department & location can change without notice.
Upon conclusion of the conference, all Sponsors/Exhibitors must be completely broken down and have shipping labels ready between 12pm EST on Saturday, September 26, 2020. More details will be sent to you shortly concerning these display details.
